Managing Quote Proposals
Our unique cloud based software allows you to quickly and efficiently create quote proposals which are stored online and can be accessed anywhere in the world.
If the default quote layout doesn’t meet your requirements this can customised using html and css, (if thats jargon to you then RedSquare can help) quotes can be saved as templates so they can be replicated effortlessly, you also have the option to use our online quote builder where the cost of the quote can be calculated by selecting your suppliers, products and labour allocation, this can also be saved as a template.
From your account the quote can be emailed directly to your customer yet RedSquare is still monitoring its status, in the quote table you will see its status change from ‘Email Delivered’ to ‘Link Opened’ when your customer opens the quote
Following Up Your Quote Proposals
A small business often neglects the administration side of a business, this is because the business is generally understaffed in this area and quite often a quote is sent to a potential customer but then forgotten about, that is until the customer either accepts or forgets about your quote while they respond to your competitor who has made the effort to contact them to see if there are any questions regarding the quote.
As small business owners ourselves we have become victims of this, to overcome this RedSquare has the option to automate a follow up procedure, within your quote settings there is an option to automatically send a reminder email, an email which you can customise and select how long after the quote was sent before the reminder email is sent.
Client Accepting A Quote
When your client accepts a quote they may raise your company a purchase order, some however will just email to confirm acceptance, but how do you manage this now active job?
RedSquare can take control of this, your client will see at the bottom of their quote an option to accept or decline the quote, accepting it will move the quote to your active job table and if you used our quote builder the materials can be ordered from here, by clicking ‘order materials’ your suppliers listed in the quote builder will be emailed with your order.
Once the project is complete the active job can be closed and it will be moved to your closed job table.
Pre Planned Maintenance
Running a installation and maintenance company you’ll be aware that routine maintenance is your bread and butter, but how do you manage scheduling them? You may have a T card system in place but we found this had its limitations and requires someone to manage it.
RedSquare gives you the opportunity to store your pre planned maintenance contracts in a easily accessible database and the details can be downloaded in a PDF document which can styled in custom layout using HTML and CSS.
Including client, invoice and site address details you have the option to enter custom information about the site you maintain and the months you make PPM visits, once the months are entered RedSquare will automatically display a reminder in the dashboard if its due in the current month, if its not completed in the current month its status becomes overdue
